Administrative Assistant - Portuguese, French and English Speaker (m/f/d)

Opportunity to join a software provider, specializing in securities and stock market business, that is looking for an Administrative Assistant based in Lisbon.

Your new role
Being responsible for various administrative, managerial, and operational tasks, your main duties will be:

  • Expenditure Management: Ensuring that requests are tracked, organized, and followed up, including archiving important documents like contracts and purchase orders.
  • Outsourcing Contracts: Handling all aspects of outsourcing agreements, from recruitment to contract renewals, and collaborating with finance for control and oversight.
  • Client Invoicing: Gathering invoicing data, checking its accuracy, issuing invoices, and maintaining a digital archive for efficient access.
  • Lisbon Site Administration: Managing supplies, access control, recruitment logistics, IT equipment, and onboarding/offboarding processes to keep operations smooth and well-organized.
  • HR Liaison: Acting as a direct point of contact for HR-related matters, ensuring employees receive the necessary administrative support.

What you'll need to succeed
  • Fluent in French, Portuguese and English;
  • Good knowledge of office MS tools, Word and Excel; proficiency in SAGE accounting software is an advantage;
  • 2/3 years of higher education in accounting/management, administrative management and/or secretary;
  • At least 2 to 3 years in such a polyvalent administrative position;
  • Rigor and method in collecting, analysing and consolidating data;
  • Good verbal and written communication skills, team spirit and proactiveness.
